Appointments

Booking

Appointments can be booked online, by phone, by email or through the enquiry form on our website. Records are managed through Nookal, our secure practice management software. A confirmed booking constitutes an agreement to attend at the scheduled time and pay applicable fees. We may allocate you to the dietitian in our team best placed to assist, and will tell you who you are booked with before your appointment.

Cancellations & No-Shows

We request a minimum of 24 hours’ notice to cancel or reschedule. We consider all circumstances reasonably.

  • Cancellations with less than 24 hours’ notice may incur a cancellation fee
  • Non-attendance without notice (no-show) may incur the full consultation fee
  • Repeat cancellations or no-shows may result in a prepayment requirement
  • We may waive cancellation charges where it is reasonable to do so

Medicare, DVA & ADF: Cancellation fees for Medicare, DVA and ADF-funded appointments are not claimable through those programs and are the client’s personal responsibility.

NDIS Cancellation Policy

For NDIS-funded appointments, cancellations with less than 2 clear business days’ notice (or non-attendance) may be charged at up to 100% of the agreed support price, where permitted by the NDIS Pricing Arrangements and Price Limits (PAPL) and where cancellation terms are documented in the participant’s service agreement with us. We may only claim this where we were unable to redeploy the booked time to other billable work. We may waive these charges where it is reasonable to do so.

Late Arrivals

If you arrive late, we will provide as much of your allocated time as possible. The full fee may still apply.

4

Fees & Payment

Private

Current fees are published on our fees page and are payable at the time of service. Consultations are charged at either the Dietitian or Senior Dietitian rate, depending on who you see. Cash, EFT or card via Tyro EFTPOS. Invoices via Xero. We do not store card details.

Medicare

Up to 5 allied health sessions per calendar year with a valid GP Chronic Condition Management Plan (or earlier GPMP/TCA). The rebate is set by Medicare and a gap applies. Gap amounts are advised in advance.

DVA

No out-of-pocket costs for eligible Gold and White Card holders with a valid referral. Claims submitted directly by the Practice.

ADF

No out-of-pocket costs for serving members with a valid referral through Bupa ADF Health Services. Claims submitted directly by the Practice.

NDIS

Billed at or below the current NDIS Pricing Arrangements and Price Limits. Self-managed participants invoiced directly; plan-managed invoices sent to the Plan Manager, both via Xero.

NIISQ

Billed directly to NIISQ where the participant has an approved funding request in place. No out-of-pocket cost to the participant.

My Aged Care

Delivered under a third-party provider agreement with your approved provider. The cost is drawn from your support plan budget and invoices are issued to the provider.

Private health extras

Eligible members may claim a rebate on private consultations where dietetics is included in their extras cover. Fees are payable in full and the claim is made by the client. Rebate amounts are set by the fund.

Medicare rebates: Consultation fees are payable in full at the time of service. Claiming the Medicare rebate is the client’s responsibility, and fees remain payable where a rebate cannot be claimed.

Overdue Accounts

Accounts unpaid within 30 days of invoice may incur a late payment fee and may be referred to a debt collection agency. All recovery costs are the client’s responsibility. Where accounts are referred for debt recovery, only limited information (name, contact details, invoice details and service dates) will be disclosed, clinical details are not shared with debt recovery services.

5

Referrals

For Medicare consultations, a valid referral under a GP Chronic Condition Management Plan (or an earlier GP Management Plan or Team Care Arrangement) must be provided before or at your first appointment. A valid DVA referral is required for DVA services, and a valid referral through Bupa ADF Health Services is required for ADF members. NIISQ participants need an approved funding request in place. Consultations may not proceed, or funded billing may not be possible, without the appropriate documentation.

It is the client’s responsibility to ensure their referral is current and valid.

6

DVA & ADF Records, Audit & Advertising

For DVA-funded services, we retain referrals with patient records and maintain appropriate clinical documentation for the required retention period. We will comply with reasonable DVA requests for audit or information, including making referrals and clinical records available as required. In our marketing, we do not imply endorsement by DVA, use DVA branding, or make representations that could mislead veterans about their DVA entitlements.

The same applies to services delivered to Australian Defence Force members through Bupa ADF Health Services. We retain referrals and clinical documentation for the required period, comply with reasonable requests for audit or information, and do not imply endorsement by the ADF or Bupa in our marketing.

7

Scope of Practice

Our services are provided in accordance with professional standards set by Dietitians Australia and relevant legislation. We do not diagnose medical conditions. Dietetic advice is intended to complement, not replace, the advice of your medical practitioner.
